Administrative Assistant - Lake Huron Catholic Family of Parishes
Position: Full-time Administrative Assistant Work Location: St. Boniface Parish, Zurich, ON - Lake Huron Catholic Family of Parishes Commitment: 28 hours per week (standard schedule is Tuesdays – Fridays, 8:30 AM – 4:00 PM, with a 30-minute unpaid lunch break). Flexibility to alter hours of work due to business needs (events, meetings, etc.) is required. Compensation: Based on experience and in accordance with Diocesan policies. This position is eligible for participation in the DOL’s lay staff benefits and pension plans. Posting Date: March 4, 2025 Closing Date: 10:00 AM on March 14, 2025 POSITION SUMMARY:
Reporting to the Business Manager, the Administrative Assistant provides welcoming and friendly front line customer service to parishioners and all visitors to the parish. The Administrative Assistant maintains both electronic and paper based records, ensures organized and efficient operation of the parish office and provides administrative based assistance to the Pastor, Associate Pastors and family of parish staff as assigned.
SUMMARY OF DUTIES:
Greets and welcomes visitors to the parish office, assists and provides information both in person, over the telephone and/or through email.
Maintains office and parish records, databases, filing systems, calendars and parish archives per Diocesan policies.
Processes sacramental records, certificates and correspondence (funerals, registrations, scheduling, follow-ups).
Prepares agendas, correspondence, and mailings.
Attends meetings as requested and records professional and thorough minutes.
Assists in monitoring inventory of, ordering and preparing office, liturgical, and sacramental supplies.
Supports the Pastor, Associate Pastors, and staff with administrative tasks as needed.
Collects and distributes interparish mail, including post office pickups.
Other duties of a similar nature as assigned.
QUALIFICATIONS AND REQUIREMENTS:
College diploma or related administrative assistant experience.
Minimum of 1 year of experience in a professional administrative environment.
Ability to maintain strict confidentiality of highly sensitive materials.
Proficient in latest versions of Sharepoint, Microsoft365 including Word, Excel, and PowerPoint. Experience using database systems is an asset.
Excellent interpersonal, planning, organizational and communication skills.
Collaborative, supportive, flexible team player with a high degree of initiative.
Resourceful self-starter with thorough attention to detail with a desire to produce quality projects and results.
Friendly, hospitable, and professional representative of the Diocese of London at all times.
An understanding of and desire to support and promote the mission of the Diocese of London.
A police record check as deemed suitable by the Diocese of London will be required of the successful candidate. Note: All new staff are required to complete on-line mandatory training available in English or French. Basic computer and reading proficiency to successfully complete this education is required.
