Position Summary:
The London South Family of Parishes, which was newly activated July 1 2022and comprises the individual churches of St. Justin, St. Francis/St. Martin and St. Leopold Mandic is seeking a full time secretary/receptionist (37.5 hours weekly).
Salary: In accordance with the Diocese of London guidelines.
Primary Duties and Responsibilities:
Review parish website daily to ensure accuracy and to forward any messages.
Review office stationery needs and order in a timely way.
Manage the general activities of the parish office.
Welcome, screen and direct telephone, walk-in, facsimile and email inquiries attending to needs and requests of individuals (i.e., Sacrament information, Mass card requests, St. Vincent de Paul food assistance, and relay of general information.)
Prepare and/or file correspondence and information.
Entry of new and up-dated information into the Parish computer systems programs.
Receive deliveries
Produce weekly bulletin, reader's sheet and Mass intentions tracking.
Record facility scheduling for staff and parish groups.
Maintain and up-date records of reception of sacraments.
Prepare and process sacramental registrations, certificates and licenses.
Change automated message system to reflect current informational changes i.e., mass times
Make appointments for designated staff; help maintain Pastor’s schedule
Qualifications/Skills/Experience:
Friendly and helpful on the phone and in person
Time management skills - able to complete work unsupervised and in a timely manner.
Organizational skills - ability to implement a plan of action in an organized and efficient manner.
Communication skills - able to communicate effectively in writing and orally.
Able to maintain confidentiality due to exposure to sensitive information
